How many different platforms (social media) do you answer questions on? If you answer the same questions over and over then there are simple systems you can put in place to answer all the questions, giving you more time to focus on your clients or leave work early to spend time with your family.

So I’ll start with a list of simple questions…

How long are the appointments?
What do I need to bring?
How much does it cost?

Questions from staff
How much do I charge this client?
How do I bill for that?
Can I have time off this week?
What’s the password for this?

Tips to automatically answer all of these questions

  1. FAQ: Set up a FAQ on your website page with a list and all the answers of the 10 most common questions you get asked about your business. Then add this link to your email signature and autoresponder.
  2. Autoresponder on your email or other social media platforms with links to all your information. This way if someone send you a message looking for information you send it to them straight away – see example

  1. Voicemail: Ensure you voicemail is up to date with clear instructions on how to make an appointment or get the information they may require.
  2. Policies and Procedures: If you have an up to date policy and procedure manual then your staff should be able to get the answer for themselves instead of bothering you with simple questions. I recommend ASANA (procedures) and screencast-omatic as as a training manual to save all your “how to videos” for staff.
